Autonoma Agency ("we", "our", or "us") operates an automated calling and
messaging platform used by licensed real estate agents to respond to their own
inbound leads. This policy explains how we collect, use, and safeguard
information — both for the agents who use our platform and for the consumers
they contact through it.
Information We Collect
From real estate agents who use our platform
- Account information: name, brokerage or company name,
phone number, email address, time zone, and Calendly booking link
- Lead routing configuration: the email address at which
they receive lead notifications, and the Google Sheet in which their results
are recorded
About consumers (leads)
- Contact details the consumer themselves submitted to a
listing service such as Zillow or Realtor.com — typically name, phone number,
email address, and the property they enquired about
- Call recordings and transcripts of calls made on the
agent's behalf, including any information the consumer provides during the
conversation
- Consent records, including whether a consumer agreed to
receive a text message and the call in which that agreement was given
- Lead lists an agent uploads from their own CRM or data
subscription, for calling only
How Lead Notifications Reach Us
Agents connect their lead flow in one of two ways:
- Email forwarding (current method): the agent creates a
rule in their own email account that forwards notifications from lead sources
such as Zillow and Realtor.com to a unique address we provide. We never access
their mailbox and hold no credentials for it.
- Google account connection (legacy): some existing agents
previously granted read access limited to lead notification emails. Our use of
data received from Google APIs adheres to the
Google
API Services User Data Policy, including the Limited Use requirements. Any
agent may revoke this at any time from their
Google Account
settings.
Text Messaging (SMS)
No mobile information will be sold, rented, or
shared with third parties or affiliates for marketing or promotional
purposes. Text messaging originator opt-in data and consent are
not shared with any third parties under any circumstances.
Consent is used solely to deliver the message the consumer agreed to
receive.
How consent is obtained
We do not send unsolicited text messages, and we do not text numbers obtained
from purchased lists, skip tracing, or any third-party data provider. A consumer
receives a message from us only after both of the following have occurred:
- The consumer submitted their own mobile number to a real estate listing
service (such as Zillow or Realtor.com) requesting to be contacted about a
property; and
- During the resulting phone call, our automated assistant asked the consumer
for permission to send a follow-up text, and the consumer verbally agreed. That
agreement is captured in the call recording and transcript, and is retained as
the record of consent.
A consumer who does not agree during the call is not sent a message.
What we send, and how often
A consumer who consents receives one message, sent once, after
their call ends. It confirms their appointment details or thanks them for the
conversation. There is no recurring campaign, no marketing sequence, and no further
messages. The message is sent from the same phone number that called them and
identifies the agent and brokerage on whose behalf it was sent.
Opting out
Reply STOP to any message to opt out immediately; no further
messages will be sent. Reply HELP for assistance. Opt-out requests
are honoured per agent, so opting out of one agent's messages does not affect any
unrelated business relationship.
Message and data rates may apply. Message frequency varies but
is limited to one message per enquiry as described above. Carriers are not liable
for delayed or undelivered messages.
How We Use Information
- To identify a new inbound lead and place a call on the agent's behalf
- To qualify the enquiry and transfer the call to the agent
- To book appointments on the agent's calendar
- To send the single confirmation message described above, where consent
was given
- To send appointment and follow-up emails to consumers who provided an
email address
- To record lead details and call outcomes in the agent's own Google
Sheet
Data Sharing
We do not sell personal information. We share data only with service providers
strictly necessary to operate the platform:
- Retell AI — conducts the voice calls and stores recordings
- Twilio — carries phone calls and text messages
- Google — stores each agent's results in their own Sheet
- Postmark — delivers email on an agent's behalf
- Calendly — schedules appointments
- Modal — provides the serverless infrastructure we run on
We also disclose information where required by law. As stated above, mobile
opt-in and consent data are excluded from all sharing and are never provided to
third parties for marketing purposes.
Data Retention
Lead records live in the agent's own Google Sheet, which the agent controls and
may delete at any time. Call recordings are retained by our voice provider under
their retention policy. Consent and opt-out records are retained for as long as
necessary to honour the opt-out and to evidence compliance.
Your Rights
- Reply STOP to any text message to stop receiving messages
- Ask the agent who contacted you to delete your information
- Contact us directly to request access to, correction of, or deletion of
your information
- Agents may revoke any connected Google access at any time
